  • why it is processed;
  • whom to contact;
  • what messages are sent;
  • how long information should be retained; and
  • whether the processing is lawful.

 

The customer is responsible for providing required notices, obtaining required consent, honoring opt-outs, maintaining suppression lists, and responding to privacy requests relating to its campaigns.

 

LeadsCohort processes Customer Data to provide the Service according to customer instructions and platform functionality.

 

An individual who receives an outreach message should first contact the business identified as the sender regarding that message, opt-out request, or campaign-related privacy concern.

5. Artificial Intelligence Providers

When you request AI-powered research, drafting, classification, or personalization, relevant content may be transmitted to the AI provider connected to your account.

 

Information sent to that provider may include:

  • prompts;
  • campaign context;
  • contact information;
  • company information;
  • public research data;
  • brand-voice instructions;
  • email content;
  • conversation history; and
  • other information needed to produce the requested output.

 

The AI provider’s handling of that information is governed by its own terms, privacy policy, account settings, and data-retention practices.

 

Customers should review those policies before connecting an AI account or API key.

6. Email and Sending Providers

When you connect an email account, mailbox, SMTP service, or sending provider, the platform may transmit and receive information needed to:

  • authenticate the account;
  • send messages;
  • check sending status;
  • retrieve replies;
  • detect bounces;
  • process unsubscribes;
  • display conversation history; and
  • maintain campaign records.

 

Email-provider activity is governed by the provider’s terms and privacy practices.
